MISSIONS AND RESPONSIBILITIES:
Operational Transformation & Process Mastery
- Map current operational workflows and ways of working across FIA collaborators to identify key areas for optimization.
- Drive the organizational journey toward operational excellence, managing the deep behavioral and structural shifts required in a large corporate administration.
- Act as a highly proactive source of proposals for organizational development, modern communication pathways, and scalable continuous improvement.
- Infuse structured frameworks like RACI matrices and efficiency principles deep into the daily habits of the organization.
Agile, Digital, and AI‑enabled Coordination
- Apply agile and iterative approaches, including scrum‑inspired practices where relevant, to improve coordination, visibility, and follow‑through.
- Leverage digital tools, data, and AI‑enabled solutions to support information flow, action tracking, and executive coordination.
- Work with digital and other functions to ensure tools support decision‑making and collaboration, without owning systems or platforms.
Facilitation, Change Management
- Facilitate working sessions, workshops, and alignment meetings with Directors and transversal stakeholders to turn complex challenges into clear action steps.
- Provide heavy, hands-on change management support to guide staff through new governance routines and communication channels.
- Contribute to stronger collaboration and coordination across a distributed, multi‑office organization.
GM Office Coordination
- Own end‑to‑end coordination of management team–level meetings and key executive forums.
- Shape agendas in coordination with the Director of the GM office and content owners; ensure meetings are purposeful and decision‑focused.
- Track decisions, actions, and follow‑up across forums; ensure clear ownership and visibility.
- Draft and consolidate concise meeting summaries, decision notes, executive briefings, and follow‑up communications, ensuring clarity, accuracy, and consistency of key messages.
PROFILE:
- University degree in business administration, organizational development, management, or a related field (e.g. digital transformation, or organizational effectiveness).
- 7–10+ years of experience ideally combining an initial few years in top-tier strategic or management consulting followed by in-house transformation experience.
- Proven experience supporting Management Committee / Board / Executive Team‑level environments.
- Experience in process design, coordination models, workflow clarification, or operating rhythm design is a strong asset.
- Exposure to agile / Scrum‑type approaches, change management, and digital / AI‑enabled working methods is highly desirable.
- Strong technical comfort and direct execution capabilities with digital workplace automation suites (such as Power Automate) and AI-enabled productivity workflows.
- Fluency in English is required; French is strongly preferred, Spanish would be an asset.
- Desirable certifications: PMP (Project Management Professional) or equivalent; Change Management Practitioner; Lean Six Sigma (Green Belt or higher); Agile roles (e.g. Scrum Master, Agile Leader).
