Job Description
WHAT YOU WILL BE DOING
The Travel & Resources Manager will be responsible for supervision and coordination of travel, crewing and rental services for the Wasserman Live team in Charlotte, NC. This role will serve as the main point of contact regarding travel, rental equipment, and resource inquiries support. In addition, this role will assist in coordinating necessary resources for client projects to support company goals.
This role has the potential for travel during the year (approximately 2-4 events).
Responsibilities
- Review, organize, and prioritize travel, crewing and rental equipment requests and assignments to ensure timely processing of requests
- Coordinate and book travel, crewing, and rental equipment needs for Wasserman Live
- Create and process purchase orders, invoice approvals, and credit card reports per company protocol to track all travel and rental equipment activities
- Establish best practices and oversight to ensure the department stays current with financial reporting deadlines
- Make necessary adjustments to travel and rental accommodations due to changes in schedules
- Utilize reputable resources to analyze and evaluate commercial rates, lowest fares, times, routes, and appropriate car rentals
- Adhere to and communicate the company’s travel policies to all travelers. Ensure travelers are aware of their obligations before, during, and after travel.
- Conduct reviews of travel policies and department workflow; identify opportunities to increase efficiency and reduce expenses. Develop training and reference materials to support these policies and workflow
- Stay abreast of travel guidelines for airports, airlines, and hotels. This includes but is not limited to security changes, new travel laws and regulations, and changes to loyalty programs.
- Identify, develop, and maintain strong relationships with vendors to ensure continuing discounts
- Coordinate with on-site event leads to review crewing and rental equipment vendor performance. Assist with resolving discrepancies with vendors as needed
- Assist Production Operations and Technical Production and Resources departments with ongoing projects such as finding resources for client projects and contractor onboarding
THE SKILLS AND EXPERIENCE YOU NEED
- Bachelor’s degree from an accredited college or university
- 3-5 years of experience in travel or vendor management
- 3-5 years of experience in live event production or associated industry
- Exceptional organization, project, and time management skills
- Excellent communication and teamworking skills
- Ability to think strategically and creatively
- Advance knowledge of Microsoft Office Suite: Word, Excel, Outlook, and PowerPoint
- Ability to learn and use an Expense Management / HCM platform (namely Workday)
- Ability to make business decisions that are financially responsible, accountable, justifiable, and defensible in accordance with organization policies and procedures
- Must be able to adapt to frequent changes in demands from travelers and vendors
- Ability to be highly adaptable and agile in a fast-paced environment
- Must be cost conscious in order to stay within the budgeted amounts given
