The Tournament
Contested every four years, the UEFA European Championship has been showcasing the continent’s top talent since its inception in 1960 and is the world’s third largest sporting event.
UEFA EURO 2028 is taking place across the UK & Ireland where Europe's top 24 national teams will compete in a 31-day, 51 match tournament, attended by over 3 million spectators and with a global tv audience of upwards of 2 billion people.
As one of the world's largest and highest-profile sporting events, UEFA EURO 2028 will attract the attention of the sporting and major event communities, the media, and the public at large across the UK& Ireland, Europe and the World. With its unique hosting model, the event promises to spread the impacts and benefits of the tournament across the nations and communities of the UK and Ireland.
UK & Ireland 2028 Limited is the local organising committee for EURO 2028 and together with UEFA will ensure the successful delivery of the tournament, across 9 Host Stadiums and 8 Host Cities in the UK & Ireland.
The Role
The HR Operations Coordinator for UK & Ireland 2028 Limited will provide a wide range of administrative & project support across the HR Operations division, supporting both HR and Recruitment.
The role will assist with the various stages of the employee life cycle from Recruitment, Onboarding & Induction, through to general HR tasks over the next 3 years as the organisation grows significantly in the build up to UEFA EURO 2028.
What will you be doing?
Recruitment Administration Support
- Provide a variety of administrative and coordination responsibilities throughout the recruitment process including, drafting job adverts, posting adverts on the UK&I 2028 Applicant Tracking System and external job boards, Interview Scheduling, Room booking, Candidate Communication and other supporting administrative tasks.
- Own and respond to queries in the careers mailbox
- Maintain accurate records in the Applicant Tracking System, along with developing the external facing careers pages
- Produce the required recruitment documentation including role profiles and interview packs/assessment materials, including maintaining timely filing of interview notes
- Raise supplier purchase orders
HR Administration Support
- Timely and accurate production of employment documents and materials across the employee lifecycle; starters, changes & leavers
- Regular maintenance of employment records, ensuring compliance to legal and audit requirements
- Ensures that all documentation around HR processes is regularly updated and reflect any changes including Organisation charts
- Timely and accurate data input; ensuring the integrity of the data in the system is maintained
- Supports managers and employees with using self-service
- Responsible for the administration of pre-employment checks and liaison with relevant third party providers
- Responsible for coordinating and leading induction for new starters; including the preparation of induction materials
- Advises line managers on process and agrees arrangements for new starters
- Ensures all new starter documentation is returned prior to the employees start date
- Monitors the completion of probation period, including liaising with the line manager about the outcome before the due date, and prepares relevant documentation.
- Proactively manage employee queries responding to front line queries
- Provides general administration support to the HR team; for example: production of ad-hoc documents and letters, filing, scanning, note taking etc
- Manages and updates all trackers and systems to ensure accurate information is available
- Executes additional tasks as required in order to meet the changing priorities.
- Comply with all company policies and procedures to ensure the highest standards of health, safety and wellbeing can be maintained.
What are we looking for?
- Experience of administration within Recruitment or HR, in a fast paced environment
- A high degree of attention to detail and accuracy
- Ability to work discretely and confidentially at all times
- Experience of managing multiple priorities and stakeholders
- Experience of working under pressure to tight deadlines
- Experience of using HR Information Systems, or Applicant Tracking systems
- Keen interest in HR and or Recruitment
- Excellent IT skills including across Microsoft 365
- Ability to work autonomously post appropriate guidance and/or instruction
- Excellent English language skills; both written and verbal
- Confident speaking to people at all levels and presenting information face to face/via teams (when required)
