Job Description
Assistants are responsible for performing a variety of administrative tasks to provide support to the agent in client and internal matters.
Responsibilities:
- Data entry and tracking (offers, ticket counts, finals, deposits, generating contracts, etc.)
- Help manage the agent’s inbox and respond/flag as appropriate
- Set and confirm meetings and maintain calendars for agent and internal artist calendar
- Update client bios, riders, and ad mats
- Maintain accuracy of artist contact records in booking system
- Coordinate with accounting team to update client tax information and payment information
- Collect and enter finals; notify accounting to generate statements
- Manage inbound phone calls on behalf of agent
- Prepare work visas for clients (immigration itineraries)
- Book agent business travel as necessary
- Submit agent expense reports
- Coordinate with operations team for client on/off boarding
- Collaborate closely with the agent throughout the day via Zoom (if not based in Austin)
- Take on additional tasks and responsibilities as assigned
Location:
- The agent is based in Austin, TX, and welcomes an assistant located in Austin, New York City, or anywhere within the Eastern or Central time zones
- No matter your location, you’ll stay closely connected through daily collaboration via Zoom
Qualifications:
- Ideal candidate has 1–2 years of administrative assistant experience, preferably in the music industry or agency space
- Strong written and verbal communication skills, including the ability to manage a high-volume inbox
- High level of interpersonal skills to handle varied personalities and sensitive or confidential information
- Demonstrated poise, tact, and discretion in professional settings
- Excellent attention to detail, with the ability to prioritize and meet deadlines in a fast-paced environment
- Comfortable working effectively on Zoom and managing remote communication if not based in Austin
- Prior experience with Excel or Google Sheets is a plus
Compensation:
Base salary: $47,500 plus bonus potential if applicable for role.
- Actual base salary is dependent on several factors including but not limited to; market dynamics, location and region, experience, specialized skills/training (education), level of responsibility, budgetary considerations, tenure at the company (for current employees), etc. The salary range listed is just one component of the total compensation package for employees. Compensation decisions are dependent on circumstances of each role.
