Job Description

OVERVIEW:

As the Junior People Advisor for United Kingdom, you will be the first point of contact for, and be responsible for overseeing, all aspects of HR operations  and administration, including supporting local implementations of global People initiatives, Culture, Values and Engagement agendas, compliance for all global policies and local law / policies, local learning and local leadership and employees guidance , escalating to the People Advisor and People Advisory Manager, when required. You will ensure the efficient and effective delivery of services and programs to support the organization's goals and objectives. This role requires knowledge of HR administration, best practices, employee lifecycle and compliance regulations specific to the United Kingdom.

***This is a 12 Month, fixed-term contract opportunity.*** 

 

THE CHALLENGE:

  • People Partnering Model: Ensure smooth cooperation with the Divisional People Partners, Centre of Excellences (CoEs) and People Operations; input to processes and ways of working where applicable; actively support in driving change across the People teams. Liaise with Talent Acquisition and build relationships with local stakeholders for recruitment to support the administration of the pre onboarding and onboarding processes.
  • Employee Queries: Serve as the first point of contact for all local employee queries and manage the local People Team inbox, escalating to People Advisor and/or People Advisory Manager, when required. Provide guidance to managers and employees for all queries and deal with all requests related to local HR and office policies and procedures, signposting them to the correct stakeholder for any other queries. Continuously maintain administration procedure maps with the most efficient processes.
  • Onboarding, Offboarding & Employee Lifecycle: Responsible for the onboarding and offboarding journey of local employees, as well as administering and processing any employee changes, including generating paperwork, whilst, working closely with the line manager, Talent Acquisition Team and the Divisional People Partner. Responsible for ensuring that all employee records and HR systems are kept up to date.
  • Payroll Administration: Administer payroll and pension requirements, and liaise with external payroll and pension providers in a timely manner to ensure payment and uploads are in line with employment contract and legal obligations. Manage relations with local employment financial institutions such as Labor Office, Health/Social/Pension insurance companies with the support of the People Advisor and People Advisory Manager, when required. Ensure data is updated on time in full line with the contracts and divisional direction, including communication to local payroll (job/cost centers changes, pay increases, personal data updates). Communicate any changes with employees in a timely manner. Be the first point of contact for payroll queries, escalating to the People Advisory Manager, when required.
  • Compliance, Risk Management, HR Policies, Health & Safety: Ensure employee files, team trackers, documentation, local People Team SharePoint, and HR systems are maintained and kept up to date, and that data retention requirements are adhered to. Remain up to date on country, state, and local employment laws and regulations. Support with ensuring HR policies, procedures, and practices are following relevant legislation. Partner with Compliance and Risk to ensure employee data integrity as well as relevant trainings are implemented. Support the UK People Team with Health and Safety compliance requirements, building up competencies locally (either through People or Office Leads).
  • Local Strategy: Support the local People Team to implement the relevant and selected People Strategic initiatives locally in alignment with Divisional People Partners and CoEs. Support implementation of local initiatives on Talents, and Learning & Development.
  • Culture and Values: Support the local People Team in partnership with the local Functional Leaders to understand and translate business needs into the relevant actions when it comes to people, culture and organization, including local values activation plans and Hybrid working.
  • Engagement, CSR and Diversity Equity Inclusion: Support the local People Team to drive engagement, CSR and DEI activities and to implement initiatives to enhance employee engagement, satisfaction, and retention. Be responsible for administering and organizing the logistics behind each initiative. Identify and proactively suggest ways to engage on-site and remote employees to increase engagement levels.
  • Local Coaching and Advisory: Provide first level support in coaching Leaders, Talents and Employees based in location, escalating to the People Advisor and People Advisory Manager, when required. Support the People Advisor to track and maintain the employee relations tracker to report on insights and areas of concern to inform recommendations for improvements. Maintain employee records with up to date case information.
  • Performance Management: Support the performance management process, including responding to queries and support the local People Team with advising managers on goal setting, performance evaluations, development planning and performance improvement processes.
  • Benefits Administration: Oversee the administration of employee benefits programs, including health insurance, pension plans, and other fringe benefits. Work closely with benefits vendors and brokers and people operations team. Track and maintain all benefits locally to ensure awareness of upcoming renewals or changes. Inform local employees and line managers of benefits available in an effective manner. Communicate benefit updates and changes and support with keeping employees engaged with local benefit entitlements.
  • Training and Development: Support the local People Team when collaborating with the Learning and Development team to deliver local trainings and relevant programs to enhance employee skills and capabilities.
  • Mobility and Immigration: Support relocation, immigration, eligibility to work and visa sponsorship processes and be responsible for all related administration, including maintaining trackers and ensuring compliance with local legislation. Support the local People Team in liaising internally with Legal, Talent Acquisition, Divisional People Partners, managers and externally with immigration teams.

YOUR PROFILE:

  • Bachelor´s degree in HRM or related field, or  equivalent preferred
  • CIPD is advantageous 
  • Proven experience within a HR – related role
  • Some knowledge of HR best practices, employment laws, and regulations specific to the country
  • Customer in centricity, high-level communication, interpersonal, and problem-solving skills.
  • Demonstrated ability to manage multiple priorities and deliver results in a fast-paced environment.
  • Proficiency in HRIS systems, Microsoft Office Suite, and other relevant HR software applications preferred
  • English fluent; Additional languages considered a plus
