Description
The Volunteer Director is responsible for recruiting, coordinating, and managing 300+ volunteers for the Kodiak Ultra Marathons. This includes pre-race planning, race-week execution, and post-race follow-up. Role spans May 18 – Nov 13, 2026, is remote, with preference for candidates local to Big Bear, CA. Role can be accomplished outside traditional business hours unless noted separately.
Requirements
Pre-Race (May-Sept):
- Recruit & Manage Volunteers: Create strategies, reach out to past volunteers, onboard new ones,
and confirm Captains (Aid Station, Sweep, Finish Line, etc.). - Coordinate Incentives: Manage swag, race entry, and donation logistics.
- Website & Communication: Maintain volunteer registration pages, send confirmation and event info
emails, respond to inquiries. - Schedule Building: Assign shifts and update schedules as needed.
- Volunteer Captains: Recruit, support, and train team leads.
- Collaborate with Race Management: Biweekly meetings, support logistics, and training sessions.
Race Week (2nd Week of Oct):
- On-site Leadership: Act as the main point of contact for volunteers.
- Volunteer Deployment: Ensure proper staffing, check-in, and support.
- Problem-Solving: Handle emergencies, no-shows, and on-the-fly changes.
- Communication: Maintain contact via race radio and digital tools.
- Logistics: Prepare supplies, manuals, check-in systems, and swag.
Post-Race (Oct–Nov):
- Appreciation & Feedback: Host thank-you events, send notes, collect feedback.
- Wrap-up: Finalize donations, complete reporting, and close incentive delivery.
Ideal Candidate:
- Strong leadership & communication skills
- Detail-oriented and organized
- Experienced in volunteer management, ideally in endurance events
- Able to work remotely with strong local connections in Big Bear, CA
- Willing to work long hours outdoors during race week
