Description
The Travel Coordinator role is focused on day-to-day execution, accuracy, and frontline traveler support. This position supports Event and Non-Event travel by completing routine bookings, maintaining accurate records, and assisting travelers with itinerary-related needs while following defined processes and escalating exceptions as necessary.
The Travel Coordinator is responsible for executing routine North American and corporate travel arrangements for events, meetings, conferences, and business travel. This role supports the Travel team by booking flights, hotels, and ground transportation; performing transactional expense and coding tasks; and serving as a point of contact for travelers regarding itinerary details and required corrections. The role operates under established procedures and direction from the Director of Travel.
Requirements
Travel Execution & Support
- Execute routine Event and Non-Event travel bookings, including flights, hotels, and ground transportation
- Support conference and special event travel logistics under the direction of the Senior Travel Coordinator
- Distribute confirmations and travel details to travelers in a timely and accurate manner
Traveler Communication
- Communicate directly with travelers regarding:
- Itinerary details
- Schedule changes
- Required corrections or missing information
- Respond to routine traveler questions related to booked arrangements
Expense & Coding Tasks
- Perform transactional expense and coding activities, including:
- Concur expense coding
- Enterprise rental car coding
- VTC–Hotel coding
- Run standard Concur reports and flag discrepancies or errors for review
Documentation & Process Adherence
- Maintain accurate records, confirmations, and supporting documentation
- Follow defined travel processes, guidelines, and workflows
- Escalate issues, exceptions, or non-routine requests to the Senior Travel Coordinator or Director of Travel as appropriate
Education & Experience
- Bachelor’s degree in Business, Management, or a related field preferred
- One to two years of experience in travel coordination, administrative support, or a related role
Skills & Competencies
- Strong organizational skills with a high level of attention to detail
- Excellent written and verbal communication skills
- Customer-service oriented with a professional and courteous demeanor
- Ability to manage multiple tasks, meet deadlines, and work effectively under pressure
- Ability to follow processes accurately and consistently
- Comfortable working independently with clear guidance and oversight
- Ability to identify routine issues and escalate appropriately
