THE POSITION
These are your key tasks:

• Manage and coordinate all VIP travel activities for FIFA VIP Stakeholders, including Top Management and their guests, ensuring seamless and high-quality service for all business and event-related trips
• Oversee comprehensive travel arrangements including flights, accommodation, airport services, and ground transport, delivering exceptional service
• Conduct thorough research and risk analysis to assess travel budgets, identify potential challenges, and evaluate the impact on services to ensure flawless execution.
• Coordinate and manage private jet bookings and operations, including researching aircraft options, securing permits, and ensuring compliance with aviation regulations
• Lead project and event management efforts for FIFA tournaments and events, ensuring smooth communication and collaboration between project teams in Switzerland and abroad
• Monitor and track commercial and private flights, working closely with airlines, operators, and other stakeholders to ensure timely and efficient operations
• Develop and implement crisis action plans to quickly address travel disruptions or changes, ensuring minimal impact to clients
• Negotiate contracts and manage relationships with service providers, overseeing procurement processes and maintaining high service standards
• Provide expert guidance on visa and health regulations, liaising with relevant authorities to ensure compliance and smooth travel for all stakeholders
• Manage monthly accounting for all services, ensuring accuracy and timely reporting of travel expenses
• Travel abroad and attend events as needed, ensuring on-the-ground support for FIFA events and tournaments

The specific competencies we require for this position are:

• Completed business travel agency education or equivalent business education with a focus on the travel industry
• Advanced qualifications in tourism, event, or general management, with a strong understanding of high-end travel operations
• Proficiency in GDS systems (Amadeus) for flight reservations, ticketing, fare rules, rebooking, and other related functions
• Minimum 5 years of experience in the business travel industry, including managing travel for VVIP clients and in-depth knowledge of private jet operations
• Proven experience in project and event management, with the ability to lead teams and coordinate complex, high-profile events
• Business fluency in English, additional languages are highly desirable
• Exceptional customer service skills, with a passion for delivering first-class service to high-profile clients
• Flexibility and adaptability to work outside of standard hours, including weekends and evening shifts when on stand-by duty
• Proficiency in MS Office
• High attention to detail and an unwavering commitment to quality
