Women’s Rugby World Cup England 2025 (Women’s RWC 2025) will be the 10th edition of the women's tournament. World Rugby, in partnership with the Rugby Football Union (RFU) and UK Sport, have formed a Local Operating Company to plan and deliver the event.
Ambitions for the tournament are at an all-time high as women’s rugby is one of the fastest growing team sports in the world. Women’s RWC 2025 will be the ultimate stage for the best players, teams and coaches from 16 nations across the globe and is set to be the biggest and most widely watched women's rugby event ever. Women’s RWC 2025 is looking to appoint a Team Pool Coordinator who will be responsible for communication and relationship management with 4 Participating Unions, as well as the planning and delivery of team-related operations and services including but not limited to accommodation, training facilities, travel, transport and logistics.
What you’ll be doing:
- Act as the main point of contact for a dedicated allocation of 4 Teams during their preparation and participation in the tournament, keeping track of all communication, requests, and ensuring smooth and efficient flow of information;
- In liaison with the flight booking agency, coordinate team travel arrangements including scheduling of international flights, confirming passenger lists, packing lists and implementing team airport procedures;
- Collaborate with the logistics functional area to organise the international and domestic freight logistics of team kit and equipment;
- Coordinate implementation of team hotel requirements with regards to meeting space allocations, rooming lists, housekeeping, and check-in/out procedures;
- Confirm and arrange team catering requirements at team hotels and match venues;
- Assist with the organisation and delivery of laundry and ice;
- Create and update operational plans, maps and official Team Base Guides for a number of Team Bases (hotel, outdoor and indoor training venue, gym and pool);
- Monitor the preparation of training venues (in particular the pitches) as well as the implementation of contractual obligations such as “Clean Venue” requirements;
- Coordinate and oversee the set-up of training venues and hotels (e.g. branding, VIK deliveries, delivery and installation of privacy fences, training equipment, etc);
- Support the tournament-time deployment of Team Liaison Officers and Assistant Team Liaison Officers, managing daily communication and assisting with resolution of any issues or incidents;
Experience & knowledge you’ll need:
- Experience of working in elite high performance sporting team environments;
- Excellent organisational and administrative skills with a superior attention to detail;
- Experience of managing complex projects with multiple stakeholders and deadlines;
- Ability to work quickly and accurately under pressure;
- Excellent communication and relationship building skills;
- Excellent influencing and negotiating skills,
- Good working knowledge of Microsoft office suite
- Availability to travel regularly within and around the Host Cities to visit the selected team facilities
