TEAM ASSISTANT (RWC 2027 LOC)
FIXED-TERM CONTRACT UNTIL END OF NOVEMBER 2027
BASED IN SYDNEY
The Team Assistant will be an administrative all-rounder, supporting our Managing Director (MD) and Executive Management Team (EMT) with diary management, travel bookings, expenses and preparing presentations. This role will also be responsible for the smooth running of our RWC offices and support the broader team with other accounts and travel administration. This role will be a real go-to person and will play a major role in building and fostering an inclusive and fun team culture!

About the role
MD & EMT Support
- Proactively managing the MD’s diary, including arranging meetings, preparing agendas and papers, ensuring he is prepared for all internal and external stakeholder meetings
- Providing general administrative support to all EMT, including managing expenses and invoicing, booking travel, preparing presentations and other tasks as needed (each department will have dedicated support roles commencing in the next 12 months)
- Preparing agendas, taking notes and following up EMT meeting action items as needed
- Planning and coordinating any EMT offsites and strategy sessions
Office Management
- Leading the management and efficient running of the RWC offices, including liaison with building management, security, ordering office supplies, catering and meeting preparation
- Arranging logistics for guests and visitors e.g., car parking allocation, reception preparation, meet and greet as needed
- Leading on upcoming office upgrades and fit outs as we grow and scale
Business Support
- Leading on all travel bookings for the LOC team
- Supporting the finance team with Accounts administration as needed
- Recruitment and onboarding admin support
Board and Audit & Risk Committee (ARC) Support
- Scheduling Board and ARC meetings
- Assisting with the formatting and collation of Board Reports, as required, ensuing all LOC stakeholders prepare and submit their papers on time
- Assisting with meeting arrangements, including room set up, catering and refreshments
- Booking travel for Board Directors and Committee Members
About you
- You have previous experience in a busy administrative role, with strong attention to detail and a proactive approach
- You are an excellent communicator, highly personable and can build strong relationships with colleagues and a diverse range of stakeholders quickly
- You have high competency in the Microsoft Office suite, and enjoy preparing presentations (it would be advantageous if you are creative and have experience with other products like Canva)
- You are extremely organised and enjoy working under pressure in a fast-paced environment, delivering work to deadlines and honouring commitments.
- You are a team player who thrives working in a high performing and collaborative team environment - you are willing to muck in and support the broader team as we are growing and changing
- You are trustworthy, with a high level of credibility, diplomacy and sound judgement, and respect the confidentiality aspects of the role
- You are flexibility to work irregular hours as needed, including evenings, weekends, and holidays, depending on event schedules
- It would be advantageous if you have experience in a major events environment

RWC 2027 tournament will be a nationwide celebration of the sport, its values and Australia’s cities, culture and people, engaging new audiences and inspiring a new generation of fans and players. In Australia, the tournament is expected to generate $1.3B in direct visitor expenditure across Australia from more than 250,000 international visitors and inject a further $80m into the Australia economy as a result of hosting in 2027 alone.

The role offers hybrid working during the initial phases of planning, noting that as the event draws near the role will be required to be full time in the office integrating with the rest of the team. The current planning is based on:
