Description

The Supply team ensures all event supplies, equipment, and logistics are delivered, organized, and maintained to support world-class race execution. The Supply Lead and Supply Assistant work closely with the Race Director and event operations to manage on-site warehousing, transportation, ordering, inventory, and overall supply-yard excellence. These roles require strong operational discipline, coordination, and a commitment to safety and quality.

Requirements

Event Supply & Logistics

  • Oversee all event supply operations, including on-site warehousing, shipping/receiving, equipment maintenance, and ordering of trucks, trailers, equipment, and supplies.
  • Ensure all supplies are received on time; for 140.6 events, the Supply Lead arrives one week prior to event week for early coordination.
  • Organize supply orders and load bike and run aid-station trucks.
  • Manage stocking, loading, unloading, and restocking of trucks for delivery to aid stations; coordinate pickups and drop-offs with course personnel and Volunteer Captains.
  • Load, bind, label, and arrange pallets for transport to warehouse staging areas.
  • Convey equipment and supplies from receiving to storage or designated locations.

Inventory Management

  • Answer inquiries from on-site staff related to inventory, routing, packing, and asset tracking.
  • Maintain accurate records of all equipment, supplies, and materials received or distributed.
  • Sort, label, and place materials on racks, shelves, or bins following predetermined sequences (size, type, style, color, or product code).
  • Sort and store perishable goods in refrigerated areas as required.
  • Mark materials with identifying information and open crates, bales, and containers as      needed.
  • Weigh or count items to ensure compliance with IRONMAN standards.

Transportation & Equipment

  • Drive vehicles to transport stored items between warehouse, site, and partner locations.
  • Operate pallet jacks and maintain forklift certification (classes 1, 4, 5, and 7).
  • Maintain trucks and trailers used for event supply transport.

Problem Solving & Issue Resolution

  • Maintain proficiency in UPS and FedEx tracking systems for shipping and receiving.
  • Investigate and resolve transit or delivery issues promptly.
  • Coordinate with managers and team members to develop and implement process improvements, policies, goals, and objectives.

Budget & Compliance

  • Monitor spending and ensure expenses align with approved budgets.
  • Promote and uphold safe working practices for all staff.
  • Follow all required sanitation and safety protocols, including COVID-related measures when applicable.
  • Adhere to emergency action plans and respond appropriately during site emergencies.

People Leadership & Collaboration

  • Communicate directly with the Race Director to ensure all event needs are met.
  • Provide leadership to the Supply Assistant or Supply 3rd on event sites, ensuring work is completed accurately and efficiently.
  • Assist the North America Director of Logistics with duties as assigned.
  • Support an environment of teamwork, professionalism, and operational excellence across the Supply Yard.

Site Operations & Yard Excellence

  • Maintain a clean, organized Supply Yard at all times.
  • Ensure all work areas are left cleaner than they were upon arrival.
  • Uphold proper radio etiquette and event-appropriate attire.
  • Provide support in ALL CALL event situations and assist other teams as needed.

Culture & Ways of Working 

  • Support colleagues and event teams proactively, contributing to shared goals and stepping in where needed across functions.
  • Look beyond your own lane, understanding how warehouse operations connect to the broader event lifecycle and taking initiative to solve issues.
  • Model accountability and professionalism through clear communication, reliability, and consistent adherence to safety and quality standards.
  • Demonstrate  adaptability and a solution-focused mindset in a fast-moving, event-driven environment.

Qualifications & Experience

  • 3–5 years of experience in event operations, logistics, warehouse management, or supply chain coordination within a fast-paced, hands-on environment.
  • Experience leading      on-site operations or small teams during large-scale events, activations, or multi-day productions.
  • Valid driver’s license with experience driving vans, box trucks, or similar vehicles used for event supply transport.
  • Forklift certification (classes 1, 4, 5, and 7) or the ability to obtain certification prior to event season.
  • Ability to lift 50 lbs or more repeatedly and work outdoors in variable weather conditions.
  • Strong organizational and inventory-management skills, including experience with physical receiving, stock rotation, and asset      tracking.
  • Proficiency with shipping and tracking systems such as UPS, FedEx, or equivalent.
  • Comfort working  long hours during event weeks, including early mornings, late evenings, and extended shifts.
  • Strong communication skills, with the ability to coordinate across Race Directors, course teams, volunteer leadership, and operations crews.
  • Ability to  troubleshoot issues independently, make quick decisions onsite, and  maintain professionalism under pressure.

Working Conditions

· Warehouse environment with standing, lifting, and physical tasks.

· Periodic extended hours during peak event periods.

· Some travel may be required to support event logistics or warehouse operations.
