  1. Primary Purpose
  • This role is responsible for the sales sample procurement process including securing greige, confirming sample production timelines, purchase order maintenance, and monitoring production WIP status/shipment tracking to meet critical calendar deadlines. Analyzes and communicates status updates via metrics of all sample stages to internal/external partners to support on-time sample completion and delivery. Facilitates and prioritizes tasks per key calendar milestone dates and overall business objectives.
  1. Duties and Responsibilities
  • Works with cross-functional partners at the PCC, Tampa office, and vendors inclusive of sample needs, purchase order details, key dates / priorities to meet calendar deadlines, follows up to ensure deadlines are met and alerts necessary parties of potential delays / issues / revisions and offers options / strategies to minimize impact.
  • Partners with PD / materials team / vendors to analyze and confirm sample production lead times by stage of production.
  • Works closely with cross functional partners / vendors to plan sample capacity / sample schedule and prioritize production based on product complexity, business needs / urgency, and requested exit factory dates.
  • Places greige commitments with vendors / mills based on sample buy file, confirms lab dips match colors requested (or offers substitutes), monitors / reports status, identifies / executes any special PO's needed pre buy-ready for greige purposes.
  • Works with PD / vendors to confirm vendors have all components i.e. tech packs, art, etc., to proceed with sample production based on buy ready status.
  • Works with PD / vendors to confirm FOB's and exit factory dates, updates appropriate database / documents / systems, and communicates confirmation status to cross functional partners.
  • Compiles, records, and distributes reports / data analysis for departmental meetings.
  • Audits sample buy file vs. VLP's (visual line plans) vs. posted tech packs / art vs. system data and troubleshoots any discrepancies.
  • Maintains, and ensures accuracy of purchase orders.
  • Creates, maintains, monitors, and analyzes sample WIP tracker and reports weekly status.
  • Identifies any sample production issues and works with cross functional partners on action plans to prioritize and mitigate issues and delays.
  • Assesses WIP status for line plan changes, makes recommendations for action plan, partners with Tampa sample team on direction and takes appropriate action.
    • Reports the ability to affect / enact any line plan changes and impact to requested/confirmed exit factory dates.
    • If remakes are needed, communicate new timeline associated to Tampa sample team for review/final direction.
  • Works with vendors to ensure vendor letter / customs compliance shipment SOP instructions are followed and shipments are booked in advance with complete and accurate documentation to meet calendar deadlines.
  • Follows up with vendors to confirm samples are shipping on time as confirmed and / or notifies Tampa office of delays and reasons for delays in a timely manner. Adjusts requested exit factory dates if needed based on historic lead times.
  • Ensures system data is maintained and performs seasonal clean-up.
  • Supports department in building presentations for leadership meetings.
  • Reconciles, codes, logs and approves invoices to ensure timely payment.
  • Develops and maintains SOP documentation.
  • Onboard / train new hires.
  • Special projects or tasks as assigned by management.

  1. Education and Experience Requirements
  • College degree preferred
  • Years of related professional experience: 2 years+
  • Intermediate to advanced PC skills
    • Outlook
    • Data entry
    • MS Office; focus on Excel spreadsheets (v-lookups & pivot tables) and Powerpoint presentations
    • Manipulate and analyze complex data sets
    • Ability to learn new / specialized internal software systems (MicroStrategy, Airtable, Sabre, Vendor Portal)

  • Proficient in English and Thai or Spanish based on region position is based.
  • Strong communication skills
  • Good understanding of the entire supply chain process from design concept to receipt of goods.
  • Basic textile and construction knowledge
  • Must be a strategic thinker and able to see the big picture.
  • Ability to juggle multiple deadlines and tasks in a fast-paced environment.
  • Operate with a strong sense of urgency and intuitive sense of priorities & accuracy, with a creative approach to problem solving.
  • Ability to resolve problems, either independently or by coordinating with management
  • Strong interpersonal skills, including ability to effectively partner cross functionally and work in a team environment.
  • Supports process, system enhancements and offers ideas / solutions to create efficiencies.
  • Prioritizes and schedules workload to meet deadlines
  • Strong organizational, presentation and project management skills with attention to detail
  • Occasionally work from and / or commute between company facilities including working in warehouse conditions without A/C

  • While performing the duties of this job, the employee is regularly required to, stand, sit; talk, hear, and use hands and fingers to operate a computer and telephone keyboard reach, stoop kneel to install computer equipment.
  • Specific vision abilities required by this job include close vision requirements due to computer work.
  • May require retrieving merchandise between company facilities.
  • Ability to occasionally lift and/or move 25, occasionally up to 50 pounds.
