Job Description
The GA will be responsible for supporting members of the Governance Leadership Team with day-to-day support across the leadership function, providing a comprehensive, confidential and professional secretarial service across various teams within the Governance function.
The GA will report into the EA to the Group General Counsel, helping to support senior management within the Governance ExCo team and function whilst delivering an overall efficient service.
Key Responsibilities
- Provide comprehensive secretarial support to members of the Governance ExCo team whilst always maintaining confidentiality regarding business, customer and personal data
- Produce letters, reports, presentations and e-mails as required by senior management
- Manage and organise the diaries of the senior management team, prioritising meetings as and when necessary and acting as a point of control for unsolicited meeting requests
- Set up conference calls, video conference calls, meetings and events as required by management and circulate details to attendees
- Work to ensure that material for meetings, such as meeting packs, are created and distributed in a timely manner to all designated parties, following up on documents that are to be included in the packs
- Organise catering for the senior management meetings, working with external providers to ensure requests are met, whilst ensuring budget spend is within authorisation limits
- Coordinate the annual Safer Gambling training for the Executive Leadership Team
- Process purchase orders for invoices and collaborate with the finance team to ensure smooth operations
- Arrange all relevant travel and accommodation via the company travel system for senior management whilst adhering to the company travel policy
- Process expense claims for the senior management team in a timely manner, using the online expenses system
Undertake ad hoc duties for senior management as and when required
Qualifications
- Good general education
- Previous experience working in a similar role within a corporate environment
- Experience of working within a fast-paced, ever-changing environment
- Professional, confident, credible and enthusiastic team player with a flexible, can-do attitude
- Strong communication and organisation skills
- Excellent administrative skills and strong numeracy skills
- Good IT skills including strong experience of MS Office, with the ability to learn new systems and process quickly
- Ability to manage multiple streams of work and prioritise workload effectively
- Detail focused
- High energy, tenacious with a passion to deliver
