Payroll Administrator – EMEA & Americas

This is a great opportunity for someone early in their payroll career to build hands-on experience across a truly international environment. As Payroll Administrator for EMEA & Americas, you will play a key supporting role in the accurate and timely delivery of payroll for approximately 1,500 employees across multiple countries. 

You will be involved in the day-to-day running of payroll operations — from gathering and checking data, to coordinating with external vendors and responding to employee queries. You will work closely with experienced colleagues across HR, Finance, and Reward, giving you broad exposure to how payroll fits into a larger business.

What You'll Be Doing:

Payroll Operations 

• Collect and compile monthly payroll inputs, including new starters, leavers, salary changes, variable pay, benefits, deductions, and leave data 
• Submit payroll data to external vendors and follow up to ensure timely processing 
• Carry out basic pre- and post-payroll checks, including reconciliations and variance reviews 
• Keep payroll files and records organised, accurate, and in line with data protection requirements 
• Help the team stay on track with payroll deadlines, calendars, and approval steps 

Mailbox & Query Support 

• Monitor and manage the shared payroll inbox daily, triaging and responding to queries in a timely and professional manner 
• Handle employee and stakeholder payroll questions with care, accuracy, and confidentiality 
• Flag recurring query themes to help improve FAQs, guides, or self-service resources 

Vendor & Stakeholder Coordination 

• Support communication with external payroll providers to help resolve data queries and keep processing on schedule 
• Work with colleagues in HR, Finance, Reward, and Legal to gather inputs and support compliance requirements 

Purchase Order & Financial Admin 

• Assist with the annual purchase order process for payroll vendors, including raising requisitions and tracking invoice receipts 
• Help maintain accurate records of vendor billing cycles and purchase order renewals 

Compliance & Process Support 

• Support compliance with UK payroll legislation and assist with processes in other countries as needed 
• Help keep standard operating procedures, process guides, and control documents up to date 

What You'll Bring:

• Some hands-on experience in UK payroll administration, including a working knowledge of PAYE, National Insurance, pensions, and statutory pay 
• Exposure to outsourced or multi-country payroll is a bonus, but not essential 
• Familiarity with HR or payroll systems such as ADP, Safeguard, Workday, or Oracle is helpful 
• Comfortable working in Excel — including lookups, pivot tables, and basic data checks 
• Clear and confident communicator, both in writing and in conversation 
• Detail-oriented, well-organised, and willing to ask questions and keep learning
