ASSOCIATE PRODUCTION ANALYST JOB DESCRIPTION:

The associate production analyst is essential in maintaining the accuracy and efficiency of the PO management process. This role involves ensuring the system is consistently and accurately updated by collaborating with vendors, PCC Production analysts and Tampa US Sourcing Operations team. Key responsibilities include updating and auditing PO data, resolving discrepancies related to costs, timing, and Value-Added Services (VAS), executing buy orders by collaborating closely with vendors, PCC teams and Tampa US sourcing operation team. The role also involves collaborating on verifying product readiness, forecasting accuracy, and PO costs, while ensuring compliance with requested Confirmation Receipt Dates (CRD) to meet customers needs. Additionally, the Associate Production Analyst manages reporting tasks, including buy confirmation status, purchase status reports, and tracks Work in Progress (WIP) to mitigate delivery delays working very closely on a daily basis with PCC Production Analysts. By collaborating with internal teams, the associate production analyst will ensure that the system is meticulously updated, maintaining the accuracy and timeliness of all data to support seamless operations.

Key Responsibilities:

  • PO Management System Accuracy: Ensure the PO management system is updated accurately, collaborating closely with vendors and US Sourcing Operations to make necessary updates.
  • Audit and Troubleshoot PO Data: Audit PO data and resolve any discrepancies related to Value-Added Services (VAS), costs, and timing, working closely with vendors and US Sourcing Operations.
  • Execution of Buys: Execute and share Buys with all vendors, chase confirmation, ensure timely and accurate system updates.

Buy Readiness Verification: Collaborate with the Product Development (PD) team to ensure that all styles issued are production-ready for buys.

Forecast Accuracy and leadtime Verification: Compare issued POs against forecasted data, identifying any discrepancies in style quantities and alert production analysts to evaluate capacity before sharing buys to vendors.

PO Cost Verification: Verify the PO cost, including tiered up charges related to volumes, and submit for final approval from PCC sourcing team.

Requested CRD verification: Verify that the vendor provides confirmation in accordance with the requested CRD to ensure compliance with the OTP metric. In the event of non-compliance, promptly alert the PCC Production Analyst regarding the associated risk and thoroughly investigate the reasons for delay.

  • Reporting and Buy Confirmation: Generate buy confirmation reports, Purchase Status Reports (PSR), and track the status of buys.
  • Master Data Management: Administer daily uploads of master data files (e.g., SID Data, PO Data, FCP Data, Buy Files) to ensure accurate records.
  • Buy Confirmation Follow-up: Follow up with vendors regarding buy confirmations, including confirmed receipt dates (CRD) and costs, ensuring timely updates.
  • Work in Progress (WIP) Tracking: Manage weekly WIP reports to proactively identify potential delivery impacts and escalate delays to US Sourcing Operations for resolution.
  • Rush Deliveries Management: Collaborate with US Sourcing Operations to prioritize and expedite rush deliveries, ensuring on-time shipments.
  • Collaboration for System Improvements: Work closely with PCC production Analysts to support and take responsibility on manual tasks during the transition to automation. 
  • Dashboard Status Monitoring: Review and validate raw data to ensure its accuracy and consistency with Power BI dashboard information. Promptly alert the team to any discrepancies identified during the review process.
  • Performance Reporting: Prepare weekly buy confirmation status to present during POEM meeting, past due and DOL reports and support with other reports business operations and internal metrics.
  • Vendor Capacity Updates: Obtain and track vendors monthly capacity updates per category to align with production needs.
  • Shipment Delay Tracking: Administer shipment delay reason codes and track vendor on-time shipping performance to ensure adherence to delivery timelines.
  • Shipment ID Review: Review vendor shipment IDs for accuracy and ensure timely shipment ID closure.
  • Past dues revision: Conduct daily reviews to ensure no purchase orders are past their due date in the system. If discrepancies are identified, promptly notify the PCC Production Analyst to request a revised CRD from the vendor and to obtain an explanation for any delays.
  • Booking Revision: Perform weekly reviews of booking status to ensure the vendor is on track for scheduled shipments. If any issues are identified, notify the PCC Production Analyst to contact the vendor for the most up-to-date status or to provide insights into potential delays
  • DOL revision: Weekly reviews of days of lateness and promptly report findings to the PCC Production Analyst. Take immediate action to resolve and clear any late purchase orders as a priority.

Requirements:

•Detail oriented, and has good analytical, communication, customer services, and project management skills

•Strong communication skills (fluent in English reading / writing / speaking)

•Excellent PC skills (PowerPoint, Excel, Word, Outlook). Strong Excel skills is a must.

•Basic textile and construction knowledge.

•Ability to work across teams and departments - must be comfortable in working in a team environment.

•Ability to work in a fast paced, rapidly changing, and flexible environment.

•Ability to travel to factories throughout Central America.

•Strong command of written and spoken English is required.
