We are looking to appoint a Match Official Coordinator within the Women’s RWC 2025 LOC to support the Rugby Services Manager with the planning and delivery of the Rugby World Cup, working with World Rugby Match Officials and local appointments. The Match Official Coordinator will lead on all Match Official arrangements ensuring provision for this team throughout the tournament is looked after.

 

The key focus of this role is to support the match officials team to the highest possible standard and ensuring they have all they need to fulfil the requirements of both RWC2025 and World Rugby.  The role is highly operational in nature and may involve some travel between Twickenham (head office) and the venues during the planning phase. The role then becomes the Match Official Liaison Officer for the World Rugby appointed Match Officials during tournament time and will be based out of their central London base hotel.

FIXED-TERM CONTRACT UNTIL OCTOBER 2025

BASED IN WEBB ELLIS HOUSE, TWICKENHAM

 

Women’s Rugby World Cup England 2025 (Women’s RWC 2025) will be the 10th edition of the women's tournament.  World Rugby, in partnership with the Rugby Football Union (RFU) and UK Sport, have formed a Local Operating Company to plan and deliver the event.

 

Ambitions for the tournament are at an all-time high as women’s rugby is one of the fastest growing team sports in the world. Women’s RWC 2025 will be the ultimate stage for the best players, teams and coaches from 16 nations across the globe and is set to be the biggest and most widely watched women's rugby event ever. We are looking to appoint a Match Official Coordinator within the Women’s RWC 2025 LOC to support the Rugby Services Manager with the planning and delivery of the Rugby World Cup, working with World Rugby Match Officials and local appointments. The Match Official Coordinator will lead on all Match Official arrangements ensuring provision for this team throughout the tournament is looked after.

What you’ll be doing:

  • Ensure that the Match Official Team are kept up to date with planning and required deadlines through regular and appropriate communication; 
  • Support the Rugby Services Manager with the planning and delivery of all elements of meetings for Match Officials, including developing and presenting content, venue arrangements, transport and logistics; 
  • Lead on all arrangements for the MO Team Base. Co-ordinating training sessions, gym access, pool access and ensuring meeting room and hotel recreation spaces are delivered.
  • Work with the Match Official Team to ensure compliance with the key Terms of Participation 
  • Work with the RFU to co-ordinate and deliver the Local Match Appointments, leading on the planning and delivery of all elements of appointing to matches.
  • Work with the Tournament Services FA to co-ordinate all arrangements for the Match Officials travel to venue, accommodation at venue and catering on venue.
  • Work with the Match Management FA to co-ordinate all on venue arrangement for the Match Officials
  • Plan and Co-ordinate the recruitment of the VMOLO (Venue Match Official Liaison Officers) and all arrangements for this group once appointed
  • Plan, coordinate and deliver relevant Match Official Team events and functions 
  • Assist with the project management process and provide timely reporting 
  • Assist in the processing and payment of project costs and invoices and maintaining accurate budgets.
  • Support in the establishment of high-quality systems and processes to achieve excellence in the delivery of the match official arrangements and provisions.
  • Co-ordinate all match official related documentation on behalf of RWC 2025 and World Rugby.   
  • Collaboration with a cross functional team incorporating full time employees of RWC2025, existing venue staff, contractors, volunteers and external delivery partners.   
  • Support in the development of Match Official Terms of Participation, manuals, policies, procedures and systems.  
  • Assist in the identification of key issues and risks related to achieving strategic and operational goals.  
  • As part of the Rugby Services Team, assist and support the team to deliver their overall activities.  
  • Represent RWC 2025 at external stakeholder meetings as required.  
  • Manage individual projects allocated in the planning and delivery of the tournament. 

 

 

Experience & knowledge you’ll need:

  • Operations experience within a major sporting event landscape or equivalent events
  • Proven track record in operational delivery. 
  • Demonstrable experience building and managing strong relationships with multiple stakeholders across geographies.  
  • Experience in working with multiple stakeholders and project managing interfaces between them.  
  • Strong communication skills and ability to create and deliver clear operations manuals and reports.  

 

Nice to Haves:

  • Experience of working in elite, high performance sporting team  or tournament official environments.    
  • Experienced in the operational delivery of international competitions and/or matches, working with a wide range of cultures.  
  • A working knowledge of the international rugby environment and the Laws of the Game.  
  • Experience working on the delivery of a project from concept to direction and guidance, through to overseeing delivery.    
  • Demonstrable success in supporting managers and providing administration support to a team or workforce.    
  • Experience in a fast-paced environment supporting multiple individuals across a varied portfolio of responsibilities.   
  • Proven experience in understanding and developing competition policies, procedures and processes.  
  • Experience dealing with budgets, purchase order systems, other enterprise system tools, project management tools.
