Portfolio Manager Real Estate – PAC

Purpose & Overall Relevance for the Organization:

This role is accountable for portfolio management including but not limited to store opening, lease renewals (key lease events) and rent savings. Responsible to implement the Real Estate department strategy and ensure continuous improvement of the real estate processes. The role will be responsible for the alignment of the existing Real Estate guidelines, policies, and processes with EM. Maintain the Lease Management System, document control, finance reporting and payments, support in capex planning, drafting/reviewing of lease documents, real estate reporting and direct communication with landlords.

Key Responsibilities:

Functional;

· Own, manage and implement a structured and consistent approach to Portfolio Management and Lease Administration Management;

· Prepare portfolio reviews including but not limited to lease renewals, renovations, etc.;

· Manage collaboration with Emerging Markets Real Estate Team and Store Development Team to ensure consistency and delivery of the ROP and RFC which includes new stores, renovations, relocations and closures;

· Direct and/or indirectly negotiate lease clauses (non-financial) with Landlords;

· Maintain ownership of Lease Management System to ensure payment accuracy and control of key lease events, mitigation of financial demands and ensuring compliance to Lease requirements;

· Implement and ensure compliance of Global related real estate policies;

· Facilitate/manage store planning of current and future ROP as part of portfolio expansion;

Administration;

• Review and process occupancy cost reconciliations against the relevant Lease terms;

• Manage monthly sales reporting / data integration process to Landlords (where required);

• Review Lease abstracts to ensure accuracy against full contract documentation package;

• Review and process percentage rent payments (where required) and update security deposit payments when necessary;

• Support Finance with occupancy expense forecasting and similar inquiries;

• Manage communication with Landlord Lease Administration team;

• Track and manage documentation review and signatory processes;

· Control Lease registrations with Government departments (if applicable);

· Support in the creation of BPM (Lease Approval) Forms for internal approvals;

· Opening requirements checklist alignment with stakeholders;

· Review and record rent reductions and rent savings;

· Prepare reports and summaries as needed;

Key Relationships:

• Internal – Real Estate, Store Development, Retail Operations, Franchise, Finance, Legal and Compliance, HR.

• External – Landlords, Managing Agents, External Vendors, and Brokers (if applicable).

Knowledge, Skills and Abilities:

· Good IT skills (Word, Outlook, Excel, PowerPoint)

· Good numeracy in real estate, verbal and written communication skills

· Ability to draft leases

· Geographical mobility

· Proven ability to work cross functionally to achieve goals and objectives

· Ability to work independently on multiple projects

· Strong knowledge in Real Estate regulatory controls and policies

· Excellent attention to detail in reviewing and abstracting key data from Leases and other contract documentation.

Requisite Education and Experience / Minimum Qualifications:

· University degree with an emphasis in real estate or finance preferred, or equivalent professional experience

· Knowledge of Lease Management Systems and/or working in a Lease Administration function

· Exposure: Store implementation, Real estate community, legal partners
