Fondazione Milano Cortina 2026 is the Organizing Committee for the Olympic and Paralympic Winter Games of 2026, carrying on the organization, promotion and communication of the sporting and cultural events related to the next Winter Games.

Milano Cortina 2026 will be the first large-scale Olympics in history: 13 Olympic venues, 21 provincial capitals, 2,300 municipalities directly involved, over an area of 22,000 square km.
The Milano Cortina 2026 Organizing Committee has been established in 2019 with the purpose of organizing Olympic and Paralympic Games in compliance with the Host City Contract signed jointly by the International Olympic Committee (IOC), the two cities of Milano and Cortina and the Italian National Olympic Committee (CONI).
Furthermore, the Italian Paralympic Committee, the Regions of Lombardy and Veneto, as well as the Autonomous Provinces of Trento and Bolzano/Bozen are all partners in this major national-level project, with the support of the Italian Government.
Position
The Planning and Administration Coordinator will be covering a double role corresponding to two different phases as per below.
Role in finalizing the Planning Phase (Predazzo Village):
- Support the Planning and Administration Manager in the overall coordination and tracking of the team planning progress related to Predazzo Village;
- Support in the production of the cross-functional documentation, working on the official Guide that MiCo will produce for the Olympic and Paralympic Games as well as official internal and external presentations;
- Support the PMO of the Village team in writing the Policies and Procedures for Games Time;
- Support in conceiving the training plan for the workforce who will be assigned to the Villages, developing the strategy, timeline, material and conducting training sessions ensuring adherence to Olympic and Paralympic standards and protocols;
- Support in developing the entire staffing roster for Games Time for Predazzo Village;
- Function as point of integration between Village team and other Functional Areas in the provision of the content, ensuring readiness during the Games;
- Support in the development of the operational plan in Predazzo Village, participating in Venue team meetings and tracking all functions tasks;
- Assist in the relations with Human Resources during the hiring process of the Village Team ensuring timeline, resources and roles are aligned with the Village staffing plan;
- Support in the cross-functional areas communication;
- Assist in the timeline monitoring of Predazzo Village.
Role at Games Time (Predazzo Village):
- Coordination of the entire Admin team for the assigned Village, being on site;
- Be responsible of the communication and administrative tasks of the assigned Village, supporting the Village team and all the other Functional Areas with a presence in the Village;
- Managing the track-issue system and producing daily briefing and debriefing reports of the assigned Village;
- Being responsible for the communication and escalation process with the Main Operation Centre;
- Serving as main point of contact between the administrative team and the Village General Manager;
- Reporting to the Village General Manager regarding the ongoing status of the assigned Village;
- Bridge with the other Villages Admin team.
She/He will also:
- Manage the production of Predazzo Village communications and publication during planning phase (including the Chef de Mission Guide and Policy and Procedures) coordinating the content for Predazzo Village, respecting timeline until Games time;
- Maintain records of Village activities during Venue Team meetings making sure integration among Functional Areas is maintained;
- Develop Training strategy and tools for Village Workforce during planning phase;
- Plan the Village’s workforce scheduling for Games Time during the planning phase;
- Produce Village content for IOC presentations in the planning phase;
- Develop daily reports during Games Time;
- Manage issue resolutions tracker during games Time.
Requirements
- Proven experience in event management, hospitality, or large-scale operations management;
- Proven experience in project management or working with PMOs;
- Previous involvement in Olympic/Paralympic or multi-sport event environments is advantageous;
- Knowledge of Excel, Power Point is key;
- Being able to act as a team-player, work independently and to take the initiative, showing flexibility in multitasking;
- Strong leadership and team management abilities;
- Excellent communication skills, both written and verbal;
- Excellent English skills, and proficiency in Italian is considered key;
- Willing to relocate in Predazzo.
