Position Overview
We are seeking a detail-oriented and results-driven Senior Accounts Payable (AP) Associate to join our finance team under the Controller organization. This is a hands-on, AP-heavy role that requires expertise in three-way matching, vendor support, and invoice processing. The ideal candidate will be fast, diligent, and able to handle a high volume of transactions with precision. This position is critical to the smooth operation of our accounts payable function, ensuring accurate, timely processing and payment of invoices. Key Responsibilities
- Three-Way Matching: Perform accurate three-way matching of purchase orders (PO), goods receipts, and vendor invoices to ensure all details are aligned for correct processing.
- Vendor Support: Act as the primary point of contact for vendors, addressing inquiries and resolving discrepancies quickly to maintain smooth vendor relationships and ensure timely payments.
- Invoice Processing: Use manufacturing and ERP systems to enter vouched invoices, ensuring that all invoices are accurately recorded and processed for timely payment.
- Payment Preparation: Work closely with internal teams to ensure that vouched invoices are properly reflected in payment schedules and prepare for timely disbursements.
- Reconciliation: Conduct regular vendor statement reconciliations and work through outstanding issues to resolve discrepancies in a timely manner.
- Month-End Support: Assist with month-end closing activities by ensuring all AP transactions are processed, posted, and reconciled accurately.
- Process Improvement: Identify areas for enhancement within AP processes and collaborate with cross-functional teams to implement improvements and streamline workflows.
Key Requirements
- Experience: Minimum of 3-5 years of hands-on AP experience, with a deep understanding of AP processes, three-way matching, and invoice management.
- Bachelor’s degree in accounting, Business, or a related field is preferred or the equivalent combination of education, training, and work experience.
- Technical Proficiency: Experience with ERP systems (e.g., Visual, D365, Oracle Fusion) and proficiency in Microsoft Excel.
- Attention to Detail: Strong ability to maintain accuracy while managing a high volume of transactions, with a keen eye for identifying and resolving discrepancies.
- High Volume: Comfortable working in a high-volume environment and meeting deadlines without compromising on quality.
- Team-Oriented: Collaborative and positive attitude, with a willingness to contribute to the success of the finance team.
- Fast-Paced: Able to manage competing priorities effectively in a deadline-driven environment, demonstrating urgency when necessary.
- Communication Skills: Strong communication skills for effective interaction with vendors and internal stakeholders, ensuring smooth issue resolution and continuous process flow.
