OVERVIEW 

A division of leading entertainment and sports agency Creative Artists Agency (CAA), CAA ICON is the industry’s-leading owner's representative and strategic management consulting firm for public and private sports and entertainment facility owners/operators, professional franchises, and leagues.  

Reporting directly to the Project Director, this Project Manager will manage the project’s daily project management activities with oversight over the planning, design and construction activities provided by CAA ICON. 

Duties to include but not limited to:  

• CDW Strategy & Planning — Define CDW scope, requirements, interfaces and integration with the main works, ensuring alignment with overall project objectives, design intent, schedule and budget. 

• Supplier Identification — Identify and evaluate potential suppliers and manufacturers for CDW packages, coordinating technical pre qualification and capability assessments. 

• Consultancy identification - Identify and evaluate potential consultancies for system integration and commissioning agent services.

• Tender Management — Prepare tender documentation, manage competitive bidding processes, lead clarifications, evaluate proposals and support final supplier selection. 

• Contract Management – Maintain documentation for all contracts, insurance certificates, and bonds for Owner-held contracts.

• Design Coordination — Coordinate CDW design development, review shop drawings, ensure compliance with project requirements, and maintain alignment with the architectural and engineering teams of the general project. Assist Project Management in resolving design conflicts and field problems.

• Procurement Oversight — Manage all procurement phases for CDW packages, including contract negotiations, purchase orders, production schedules, and supplier obligations. 

• Factory Monitoring — Track production progress at suppliers’ facilities, verify quality and compliance, and resolve technical issues impacting fabrication or delivery. 

• Site Integration & Logistics — Coordinate CDW delivery, installation and site logistics with the Direzione Lavori, General Contractor and project team to ensure integration into the main works. 

• Schedule & Cost Control — Maintain responsibility for CDW timelines, budgets and cost reporting, ensuring proactive mitigation of risks and delays. 

• Quality & Compliance — Ensure all CDW activities meet contractual, technical and safety requirements, including testing, inspections and documentation. 

• Cross Functional Coordination — Work closely with the Project Director, Project Management Team, design consultants, contractors and stakeholders to guarantee consistent progress and timely issue resolution. 

• General Project Management Support — Contribute to broader project management activities including budgeting, programming, risk management, construction monitoring and reporting. 

• Support the Client and the Project Management facilitating commercial partnership deals.  

• Assist the Project Management with monitoring and tracking all project open issues and field reports.

• Review and understand all change order requests and communicate changes with key client representatives. 

• Coordinate and undertake construction site tours, as requested by the Client. 

QUALIFICATIONS/REQUIREMENTS 

• Solid previous experience in the design, construction or a related services industry. 

• Bachelor’s degree (Ideally in construction, engineering or like industry) or equivalent work experience. 

• Familiarity with the WBS, construction change orders and like documents, budget formats, and architectural/engineering plans. 

• Ability to read, understand and interpret contract documents, drawings, specifications, scopes of work, project programme and project agreements. 

• Professional attitude with the ability to interact effectively with clients, contractors, and project management team. 

• Familiarity with building permit approval process and/or experience gaining municipal planning and other external stakeholder approvals in Italy an asset. 

• Strong analytical and problem-solving skills. 

• Exceptional communication and organisational skills. 

• Strong multi-tasking skills and the ability to problem solve and master new concepts in a short period of time. 

• Self-starter with the ability to work independently. 

• Familiarity with Microsoft Project and Excel required. 

• Fluency in English, written and verbal, is a necessity.
