Job Description
As a Maintenance Coordinator, you will be responsible for supporting the Maintenance Manager with the delivery of a safe, efficient, and effective maintenance service to circa 1200 retail shops. This is a varied and fast-paced role where you will utilise internal systems to manage and report on activity in line with KPIs and Budget.

Key Responsibilities:
- Working closely with the Maintenance Manager to review, prioritise and approve quoted works, minimizing H&S Hazards and downtime in line with the budget
- Ensure all RAMS/H&S Files are on file where required as per H&S regulations including CDM / Control of Asbestos etc.
- Manage primary and secondary maintenance contractors via company CAFM system (Verisae) to deliver effective reactive and quoted maintenance services
- Coordinate and manage numerous contractor workstreams to ensure jobs are completed in a timely fashion and to required standards
- Audits - Carry out monthly compliance audits, and a partial audit of up to 250 invoice exceptions per week
- Work with external Service Delivery Managers to resolve operational escalations, chase ETA’s and update the wider operational teams
- Various administrative tasks including, reporting and weekly mail merge email updates to the wider shop teams
- Monitor and feedback any relevant operational issues to the Helpdesk Manager
- Raise, receipt, and manage Purchase Orders for maintenance and supporting activity
- Identify and manage ‘high volume shops’ to drive down the number of jobs being raised, ensuring that the root cause of any potential issue is addressed to result in a potential cost saving to the business
- Review non-urgent maintenance requests and release / reject in line with agreed maintenance approach
- Occasional site and Contractor visits will be required
Qualifications
- Are you an excellent communicator with experience and ability to represent the function and communicate with all levels of the business?
- Experience of CAFM systems within a multi-site organisation and working knowledge of Verisae in particular would be advantageous, although not essential.
- Working knowledge of property / maintenance compliance requirements including but not limited to CDM, Asbestos, Legionella, Electrical & Gas Safety would be advantageous, although not essential.
- Do you have advanced knowledge of MS Word, Excel (VLOOKUPs, Pivot Tables), Outlook, PowerPoint and FM related systems?
- Are you extremely organised with strong attention to detail?
- Do you have experience of running and maintaining reports?
- Are you able to work as an individual, use own initiative and operate as part of a team?
- An HND qualification in Building Construction or equivalent experience would be advantageous, although not essential.
