The Role

CAA is seeking an organized, customer-focused individual to join our Nashville office’s Reception-Conference Rooms team. Candidates in the department gain first-hand industry experience while serving as the operational hub of the agency. This team is an important part of the CAA culture and structure and will be required to work on-site in the office five days a week.

Responsibilities

  • Manage administrative duties, which include preparing expense reports and additional office-related tasks.

  • Manage Facilities Lead calendar and phone.

  • Review office invoices, forward to the Facilities Lead for approval, and submittal to AP.

  • Schedule freight access for vendors in the building management portal and submit COI paperwork.

  • Assist with setup of special events, including but not limited to: CAA Halloween Party, Holiday events, Cheer Week, etc.

  • Assist with all facility-related requests.

  • Schedule vendors for maintenance issues.

  • Manages office supply requests for SE region offices.

  • Coordinate new hire offices with HR, MR, and IT, and ensure setup is completed, including name tags, ensuring space is cleaned and has Tech equipment (monitor, phone, and keyboard).

  • Coordinate on-site office moves.

  • Work with Tech/MR on equipment moves.

  • Assist with communications with building management teams.

  • Manage office inventory for items in storage - maintains and updates inventory list

  • Coordinates office repair requests and confirms completion.

  • Partner with Mailroom for all necessary supply orders.

  • Manage ticket assignments and ensure no backlog of facilities requests.

Qualifications

  • White glove customer service approach.

  • Demonstrated ability for attention to detail.

  • Experience working with scheduling software.

  • Experience with ServiceNow preferred.

  • Ability to remain in a stationary position for a majority of the time (e.g. 90% sitting; 10% walking).

  • Strong networking and communication skills.

  • Excellent interpersonal and problem resolution skills.

  • Demonstrated ability to build relationships at all levels of an organization.

  • Basic computer skills needed, with the ability to quickly adapt to new software and tools.

  • Able to multitask and complete all tasks in a timely manner

  • Proactive team player.

  • Detail-oriented and extremely organized.

  • Ability to work in a fast-paced, high-pressure environment.

Location

  • This role will be on-site, based out of the Nashville office.

Compensation

The hourly range for this position is $22.00 - $27.00. Ultimately, wages may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria. Please talk with a CAA Recruiter to learn more.
