As our operating environment continues to change across the Wembley Park Estate and the complexity of our operations and stakeholder relationship and dependence increase, we are seeking an External Operations Manager to support the Senior External Operations Manager in the implementation and delivery of external stadium operations. Ensuring we provide safe, secure and efficient access for all at Wembley stadium whilst minimising any disruption to local residents and businesses.
What will you be doing?
- Lead external operational planning and delivery for allocated events.
- Produce and update applicable event documentation inc. Event briefing sheets, Fanzone EMPs, licensing documentation and RAMS.
- Manage event day Fanzone pre-event planning and event day operation.
- Manage both external ops and transport contractors and coordinate their operational delivery.
- Liaise with Zone Ex stakeholders (Wembley Park, LBB, Met Police, BTP, TfL, Wembley Arena) on a regular basis on both event and non-event day operations.
- Coordinate event day operations, budget and deployment.
- Oversee the stadium external signage, wayfinding and digital assets for both event and non-event day.
- Liaise with commercial department on any external sponsor activations or filming - both event and non-event day.
- Liaise with fanatics on the external merchandise event day offering
- Liaise with ticketing dept on resident & business association ticketing process and distribution
- Attend both internal and external event planning meetings as required.
- Review On The Road venue operational plans - and coordinate required uplift and deployment
- Support the External Ops team with administrative support
- Attend external operations meetings as required supporting the EOMs producing minutes and action points
- Administer department purchase orders and coordinate efficient contractor payments
- Coordinate both event day and non-event day parking, manage queries and requests and liaise with parking contractor
- Coordinate Wembley Resident & Business associations meetings and liaison
- Coordinate and maintain Ext ops contractor H&S documentation
- Maintain the Zone Ex Coordination Room is operational & effective for event day delivery
- Managing the accreditation process for Ext Ops dept
- Manage the vehicle and pedestrian access process for both event and non-event day
- Manage WNSL's taxi booking process and ensure taxi journeys are booked in line with WNSL policy.
- Manage both WNSL's event day and non-event day parking requirements, by ensuring the parking manifests are up to date, parking enquiries are dealt with promptly and align with WNSL's parking polices.
- To assist with the development of a Journey Planning application that facilitates a coordinated and seamless service for our guests. Enabling the promotion and pre booking of transport products whilst providing real time updates
- To support the day to day management of internal and external stakeholders including working with Network Rail , Train Operating Companies, Highways Agency, blue light services, Local Authorities and the Wembley Park Estate
- To integrate the transport planning process with WNSL, Event Owners and other parties to ensure a seamless transportation operation
- Implement all WNSL policies and procedures.
- Executes additional tasks as required in order to meet FA Group's changing priorities.
- Comply with all company policies and procedures to ensure the highest standards of health, safety and well-being can be maintained.
- As part of The FA's commitment to ensuring a safe environment for everyone in football, every employee will be required to complete a DBS check. The level of the check required will be based on the activity of the specific job role and in line with legislation and government guidance.
What are we looking for?
Experience required:
- Experience of managing event operations is required, and experience gained in an event environment is preferred
- Experience of leading teams to deliver to tight and immovable deadlines
- Project management skills and experience of creating operational solutions
- Experience of working in multi stakeholder environments
- Experience of budget control and delivering to service specifications
- Proven communication skills and ability to deliver quality written reports
- Accustomed to working with a high level of corporate and public scrutiny.
