Job Summary:
The Event Services Administrator plays a critical role in the seamless coordination of events, ensuring smooth communication between clients, vendors, hotels, and travel service providers. This role is responsible for supporting event logistics, managing hotel reservations, coordinating flight bookings, and providing excellent administrative support for event operations.

Key Responsibilities:

  • Liaison with Hotels:
    • Coordinate with hotels to secure reservations, and confirm availability for event attendees.
    • Manage special requests for hotel accommodations (e.g., room blocks, VIP accommodations, meeting spaces).
    • Act as the point of contact between the hotel and the Event Team/Football Clubs for any changes or issues.
  • Flight and Travel Coordination:
    • Handle the booking of flights, and other transportation for event attendees, ensuring cost-effective travel arrangements.
    • Ensure timely flight bookings and manage any necessary changes or cancellations.
    • Organize transportation logistics from airports to event venues or hotels as required.
  • Logistics Management:
    • Liaise with competition Venue Managers on match tickets request from Sponsorship/Broadcast Partners.
    • Manage delivery of event materials (e.g., competition equipment, match tickets, etc.) to Football Clubs, Sponsorship/Broadcast Partners.
    • Ensure that all logistical arrangements are on schedule and aligned with event timelines.
  • Administrative Support:
    • Assist in event planning by preparing schedules, checklists, and maintaining an organized filing system.
    • Prepare and distribute event documents (e.g., itineraries, agendas, guest lists, and vendor contracts).
    • Track and maintain records of all event-related bookings and confirmations.
  • Event Support:
    • Assist the event team during setup and coordination at the event venue.
    • Provide on-the-ground support during the event for any last-minute travel or accommodation issues.

Qualifications:

  • Proven experience in event administration or a similar administrative role.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and event management software (preferred).
  • Ability to manage multiple tasks and work under tight deadlines.
  • Experience with travel and hotel booking systems is a plus.

Skills and Competencies:

  • Strong interpersonal skills with the ability to liaise effectively with clients, vendors, and internal teams.
  • Flexibility to adapt to changing schedules and priorities.
  • Problem-solving abilities, especially in high-pressure situations.
  • Knowledge of event planning processes, including logistics, budgeting, and vendor management.

Work Environment:

  • Fast-paced and dynamic event environment.
  • Occasional evening or weekend hours depending on event schedules.
  • Travel may be required for certain events.
