The Role
Based in CAA’sLos Angeles, Californiaoffice, theCommercial Endorsements Contracts Administratorwillwork toservice the needs of our Commercial Endorsements Department.The Commercial Endorsements team finds opportunities for CAA clients to partner with brands, startups, ad agencies, and other buyers. We make sure that every opportunity, from traditional advertising to digital media, PR, and activations, enhances the client’s personal brand.
Responsibilities
Manage buyer grids - Notating/organizing all deals by buyersMaintain and update templates and boilerplate clauses in contractsusing pre-approved language
Work cross functionally with music/digital departments as well as data teamto gather information from other department coordinatorsto proactivelyidentifyand escalate anypotential conflicts with endorsement deals,to theappropriate agentsandBusiness Affairs Executives
Managefully executed deals–serve asbookkeeper of all FEA;establishtracking database and operational systemto record allexecuteddeals andtrack down missingdeal information as needed
Roster - inserting/deletingcurrent deals of all roster clients
Respond promptly toallrequests from agents or BAexecutivesto prepare draftsand reviewagreementsusing existingtemplates andcustomizelanguage asappropriate foreach situation.Due to the nature of the work,theindividualin this role must have the abilityandflexibility to respond to urgent contract requests outside of regular business hours, including on evenings and weekends, when needed
Spend about 20% of time providinggeneral administrative supportto the commercial endorsementexecutives(preparingexpensereports, schedulingmeetings, calendar management,answeringphones,and performing other related administrative tasks and special projects as assigned.
Ensure the commercial endorsementsexclusivity gridremainsup to dateto ensure agentshaveaccurateinformation onwhich clients are available to enter into agreements by category.Requires management of a heavy volume of deal tracking that must beaccurateandalways kept up to date
Keep track of thestatus of all offers(acrossall business affairs and all agents), includingproactively followingup withagents and coordinators inother departments to ensure all contracts are entered intothe commercial endorsements exclusivity databaseto ensure any potential conflictscan beidentifiedandresolvedproactively
Coordinatewith GeneralCounselon NDA requests;act asliaisonbetween GeneralCounseland buyerto ensure all questions or changes to contractual terms and conditions are resolved
Draft escrowagreements,based onlegal departmentapproved templates, send agreementstoappropriate partiesfor execution,andensureclient contact informationis up to date
Act as internal and external point of contact for deal related inquiresrelating to contractlanguageinagreements andescalate to theappropriateCommercialEndorsementsexecutivewhen needed
Support team efforts towards organizational efficiency by developing,maintainingand updating contract management systems and charts, organizing e-files,andmanaging document storage systems
Other various related tasks and special projects as assigned, including general administrative support
Qualifications
Strong academic background:Bachelors’ degree, law degree, or paralegal certificate
1– 4 years’ experience at a law firm and/or in-house legal department ideally with experience incontractingand related transactions; if no experience, a general interest in learning aboutbrandingand commercialendorsementsindustry is vital
Excellent written and oral communication skills
Strong organizational skills and attention to detail/accuracy
Ability to manage time effectively, multitask in fast paced environment, take instruction but also work independently to meet demands of organization
Demonstrateflexibility to support business with shifting priorities and ability to handle privileged,confidentialand sensitive information inan appropriateand professional manner
Proficiencyin Microsoft Office (Outlook, Word, Excel) and Adobe Acrobat
Experience with and understanding of client services (Entertainment Industry experience preferred)

Compensation
The base hourly rate for this position is in the range of $24.00-35.00. This position also is eligible for benefits and discretionary bonus. Ultimately, wages may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
