The Role
This position is part of CAA’s global HR team and is focused on supporting CAA ICON, a division of CAA Sports.
In this role, reporting to the Senior Director of HR, the HR Coordinator will help support CAA ICON’s growing team. This support includes, but is not limited to, general administrative duties and culture-related initiatives, and is responsible for people administration via multiple systems, including Workday, as well as coordinating administration across the full employee life cycle. The HR Coordinator is a key resource for all CAA ICON employees in North America. This role also has responsibilities involving CAA ICON’s UK and Italy staff.
Responsibilities
- Provide administrative support to the Senior HR Director and Learning & Development Director, including calendar management, meeting coordination, travel arrangements, and expense reporting.
- Support the Learning & Development Director in coordinating training initiatives and programs.
- Manage administrative tasks related to onboarding, new hire orientation, employee announcements, and exit processes. This includes entering and auditing data in the HRIS (Workday), ensuring compliance, and completing/verifying Form I-9 documentation. Also responsible for new hire swag (ordering, sending, and inventory management).
- Oversee the CAA ICON summer internship program, including:
- Planning and executing the onboarding week in the Denver office for all interns, regardless of work location. This includes creating a proposed budget, conducting onboarding sessions, coordinating executive meetings, introducing the capstone project, and organizing volunteer and social events.
- Coordinating a 13-week Summer Speaker Series by securing executive presenters, scheduling sessions, and managing recordings.
- Conducting regular check-ins with interns, their supervisors, and other stakeholders to assess progress and provide feedback.
- Planning and organizing end-of-summer capstone presentations, exit interviews, and offboarding.
- Coordinate CAA ICON company-wide "WeConnect" collaborations and partner with others on committee initiatives (e.g., DE&I, Women's Group, volunteer events).
- Develop and execute employee engagement initiatives, such as regular check-ins, workshops, and positive employee relations efforts. Foster a culture of connection by maintaining strong relationships with employees across the organization.
- Maintain digital personnel files and ensure accurate and compliant data entry and document storage in the HRIS (Workday).
- Manage the employee recognition program and coordinate acknowledgments for personal milestones (e.g., births, bereavement).
- Prepare various forms of correspondence, including personalized messages for birthdays and work anniversaries.
- Respond to employee inquiries and requests, providing timely and professional customer service.
- Assist in tracking data and documentation related to the recruitment cycle.
- Maintain internal HR and operations resources, and track key employee events such as leaves of absence, performance reviews, and required training completion.
- Collaborates with other Assistants at CAA ICON to plan and implement local and all CAA ICON events (i.e., summer picnic, all employee meetings, etc.).
- Other related duties as apparent or assigned.
Requirements
- Bachelor’s degree in Human Resources or related field (or 2+ years relevant work experience).
- 2+ years of HR Assistant, HR Operation Assistant, HR Recruiting Assistant, Learning and Development, or related experience
- Professional demeanor and has the ability to maintain a high degree of confidentiality.
- Proficient in MS Office applications (Word, Excel, and PowerPoint).
- Proficient with cloud-based document storage applications (SharePoint and OneDrive).
- Experience with editing documents and obtaining signatures through Adobe Acrobat DC and Adobe Sign.
- Exceptional communication and organizational skills, and team-oriented.
- Able to prioritize assignments, organize, and handle multiple tasks.
- Passionate about being of service, working collaboratively, and creating incredible experiences for our employees.
- Extremely proactive and able to quickly shift priorities.
- Ability to interact with all levels of the organization.
- Workday experience is a plus.
Location & Hours
- This is a full-time, non-exempt position primarily onsite based in Denver, Colorado.
- Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m.
Travel
Travel is anticipated a few times per year.
Compensation
The hourly base rate for this position is $26.00 - $30.00 an hour. This position is also eligible for benefits and a discretionary bonus. Ultimately, the salary may vary based upon, but not limited to, relevant experience, time in the role, business sector, and geographic location, among other criteria.
