OVERVIEW

CAA Sports Saudi is looking for a highly organised and motivated Assistant to support the General Manager, Regional Headquarters (RHQ). The role requires an individual who has strong organisational skills, the ability to multi-task, and is personable by nature. 
 

This is a fantastic opportunity to be a part of a leading, fast paced, successful and international sports and entertainment agency. This role will be responsible for administrative support for the Head of RHQ, including diary management and owning their schedule, meeting and conference call bookings, travel arrangements and expenses, as well as other project work to support initiatives within the headquarters. There may also be requirements to provide support to the other members of the RHQ on an ad-hoc basis. 

The ideal candidate will have an acute eye for detail and be professionally presented.  They will possess excellent written and verbal communication skills, be unphased within the VIP, high profile environment and be able to operate discreetly and confidentially.  

RESPONSIBILITIES

  • Preparing presentations, proposals and adjust pitch decks as directed

  • Take notes at meetings, preparing and distributing the minutes as needed

  • Following up on tasks and manage projects as directed

  • Complex diary management across multiple time zones

  • Proactive planning of an ever-changing schedule which is subject to last minute changes on an ongoing basis

  • Meeting and conference call bookings, inclusive of relevant reminders and preparation

  • Preparation of clear and concise travel options

  • Arrangement of travel and all expenses 

  • Liaise with internal and external stakeholders, including CAA employees, business guests, clients and brand executives

  • Occasional support for the department heads in the region, as required

QUALIFICATIONS/REQUIREMENTS

  • Strong organisational and time management skills, with excellent attention to detail

  • Professional manner with a positive, solutions orientated attitude

  • Ability to prioritise and multitask with a busy workload

  • Proficient in Microsoft Office, including Microsoft word, PowerPoint and Excel

  • Ability to thrive in a fast-paced environment 

  • Ability to work autonomously and within a team 

  • Excellent verbal and written communication skills

  • Strong work ethic and experience working with high level of confidentiality

  • Experienced and at ease in the VIP and high-profile environment
