Fondazione Milano Cortina 2026 is the Organizing Committee for the Olympic and Paralympic Winter Games of 2026, carrying on the organization, promotion and communication of the sporting and cultural events related to the next Winter Games.

Milano Cortina 2026 will be the first large-scale Olympics in history: 13 Olympic venues, 21 provincial capitals, 2,300 municipalities directly involved, over an area of 22,000 square km.

The Milano Cortina 2026 Organizing Committee has been established in 2019 with the purpose of organizing Olympic and Paralympic Games in compliance with the Host City Contract signed jointly by the International Olympic Committee (IOC), the two cities of Milano and Cortina and the Italian National Olympic Committee (CONI).

Furthermore, the Italian Paralympic Committee, the Regions of Lombardy and Veneto, as well as the Autonomous Provinces of Trento and Bolzano/Bozen are all partners in this major national-level project, with the support of the Italian Government.

Position

The Arrival & Departures System Manager is part of the team working in collaboration with various internal and external stakeholders designing, developing and implementing a new web-based Arrivals and Departures Information System (ADS), which captured the travel, baggage and mobility data for all attendees of the MilanoCortina2026 Olympic and Paralympic Games in an official capacity The ADS system is paramount in the successful planning and operational delivery of all arrival and departure services by internal and external stakeholders.

The ADS Team is responsible for developing the business process for arrival and departures information management, developing the specifications for ADS, testing and implementing ADS and providing technical support.

The ADS Manager deliverables:

• Act as the key liaison between the AND and the Information Technology Functional Area, during the delivery phase for the Arrival & Departure System updates and/or further development requirements.

• Working with all key stakeholders in conjunction with the AND Stakeholder Services Senior Manager and relevant MilanoCortina2026 Functional Areas to ensure the most effective processes are established and provide ongoing feedback on ADS requirements and business processes.

• Responsible for the capture of Games Family information, ensuring that data is requested, captured and stored securely within the ADS.

• Develop training tools and documentation to ensure the ADS is understood and managed effectively across all relevant Functional Areas

• Assist MilanoCortina2026 Clients with any ADS system setup, support, and training. Manage the ADS access and logins for all users and audit where appropriate.

• Regular project and milestone planning and reporting. Risk and issue management.

• Assist in building and lead the ADS, Arrivals and Departures team, including recruitment, performance management, resolving problems, coaching, motivation, objective setting, and other duties related to managing a team according to the OC workforce strategy and associated policies and procedures.

• In collaboration with the Central Planning Manager at Games Time to manage the Arrivals & Departures Functional Area Coordination Centre (FACC) and the Arrivals and Departures Call Centre.

• Responsibilities of the role will evolve during the lifespan of the Organizing Committee, and it is likely that the role profile will evolve with the changing needs of the organization.

Requirements

  • This role requires an experience IT Project Manager, the ADS system forms part of the new IOC Pisa project and development will need to be closely monitored to ensure the requirements are delivered, software tested and API integration across multiple systems for import information is closely managed.
  • Experience within a leadership role working at a Major Sports Event, with a good knowledge and understanding of arrivals and departures requirements and challenges experienced in managing Groups and VIP's.
  • Demonstrated ability to work with, and influence, internal/external stakeholders to successfully assist strong working relationships and joint decision-making.
  • High level of organizational skills and experience in managing demanding projects simultaneously.
  • Skilled in the use of information technology and reporting.
  • Demonstrated resilience and ability in responding proactively to changes and priorities in a fast-paced environment.
  • Demonstrated experience in recruiting, training, and managing teams.
  • Working knowledge of English language, Italian and other languages a plus.
