ROLE OVERVIEW

The primary responsibilities of the Sample Analyst are to execute all aspects of the sample procurement process for assigned categories including purchase order / work order placement, production status, shipment tracking and ensure distribution of sales samples to meet critical calendar deadlines.  Compile, analyze, and report seasonal sample status on a weekly basis to internal and external partners to support on-time sample completion and distribution.  Facilitate and prioritize tasks per key calendar milestone dates and overall business objectives.

HOW YOU WILL MAKE AN IMPACT

  • Collaborates with cross-functional partners on all activities pre-PO, production, shipment, receipt, and distribution to meet on time performance.
  • Coordinates and leads meetings and communication with cross functional partners to gain alignment on sample needs, direction, and key deadlines for hand offs.
  • Compiles and verifies data from various sources to create sample buy file to meet all sample requirements.
  • Issues and maintains all purchase orders/work orders to execute seasonal sample needs.
  • Creates domestic sample production schedule, art flow plan, coordinates capacity, and monitors execution to meet calendar deadlines.
  • Reviews available blank inventory at DC/vendors, coordinates necessary transfers and/or purchase orders to fulfill domestic sample/work order demand.
  • Issues work orders/purchase orders to produce, tracks to completion and distribution.
  • Rigorously maintains all sample data in seasonal buy file, applicable documents, database, and systems including detailed recording of changes in date-logged notes.
  • Performs regular audits to ensure data integrity / data validity.
  • Communicates priorities, key dates to meet calendar deadlines, follows up to ensure deadlines are met, alerts necessary parties of potential delays / issues / revisions, analyzes reasons / severity of delays, and partners with leadership on options / strategies to minimize impact.
  • Executes sales order entry process and ensures accuracy of data, performs audits, and troubleshoots entry errors prior to releasing orders for distribution, creates ship to numbers as needed for distribution.
  • Works closely with the Distribution Center to communicate seasonal sample volume, distribution timelines, priorities, and continuously troubleshoot sales order distribution issues.
  • Compiles, records, and distributes reports / data analysis for departmental meetings including weekly sample metrics and seasonal recaps to sales force.
  • Executes special projects/ad hoc requests to drive business results.
  • Coordinates sample needs for sales meetings / trade shows by confirming samples / supplies / prep needed, logistics, and distribution details.
  • Performs regular system cleanup of any past due PO’s/WO’s/SO’s
  • Collaborates with department peers to build presentations for leadership meetings.
  • Reconciles, codes, logs, and approve invoices to ensure timely payment.
  • Develops and maintains SOP documentation.
  • Develop training documentation and lead training sessions to support the current and new team members ensuring standardized onboarding experience.

WHAT YOU BRING TO THE TEAM 

  • College degree preferred or equivalent work experience
  • Years of related professional experience:  2 years+ (Ex. Supply Chain, Manufacturing, Product Development, Sourcing)
  • Intermediate PC skills
    • MS Office Suite with a strong emphasis on Excel and Powerpoint (Pivot tables, V-Lookups, etc.)
    • Data query tools (Ex. MicroStrategy, Access)
  • Ability to manage multiple deadlines and tasks in a fast-paced environment. Strong sense of urgency and intuitive sense of priorities & accuracy, with a creative approach to problem solving.
  • Ability to resolve problems, either independently or by coordinating with management.
  • Strong interpersonal skills, including ability to effectively collaborate cross functionally.
  • Supports process, system enhancements and offers ideas / solutions to create efficiencies.
  • Prioritizes and schedules workload to meet deadlines.
  • Strong organizational, communication, follow-up, and presentation skills with attention to detail.
  • Strong command of written and spoken Thai and English language is required.
